How to create Analytic Accounts in Metro ERP?


To create analytic accounts in Metro ERP's Accounting App, follow these steps:

1) ​ Go to the 'Accounting' module.


2) Navigate to Accounting → Configuration → Analytic Accounts.


3)  Click 'Create' to add Analytic Accounts.


4) Provide a description, analytic account, reference, customer, group, company and details for budget items.

5) Setting up and managing Analytic Accounts & Budgets:

Analytic Account Section.

  • Analytic Account (e.g., Project XYZ): This is the name of your analytic account, usually linked to a project, department, campaign, or cost center.
    Example: “Marketing Campaign”. 

  • Reference (Optional): A unique internal code or reference for easier tracking.

  • Customer (Dropdown): You can assign this analytic account to a specific customer. Useful for project-based billing.

  • Group (Optional): Allows grouping of analytic accounts (e.g., under “Marketing Projects”).

  • Currency (Default: Company Currency, here SGD): Defines the currency in which this analytic account operates.

Budget Items Section

Here you connect the analytic account with budget lines:

  • Budget: Select a predefined budget (e.g., “Annual Marketing Budget 2025”).

  • Budgetary Position: These are groups of accounts (like “Expenses: Marketing” or “Income: Sales”) that define what transactions will be tracked.

  • Start Date & End Date: Defines the budget period (e.g., 01-01-2025 to 31-03-2025).

  • Planned Amount: The budgeted (expected) amount for this analytic account.

    • Positive values = Income

    • Negative values = Expenses

  • Practical Amount: The actual amount posted from journal entries, invoices, or bills tagged to this analytic account.

  • Theoretical Amount: The system calculates the expected spend based on time elapsed in the budget period.

  • Achievement (%): Ratio of Practical Amount vs. Planned Amount → helps measure performance against the budget.


6) Action Save / Discard: Save the analytic account or discard unsaved changes.

Now, Save the Analytic Accounts.

7) When recording transactions (invoices, vendor bills, expenses), assign them to analytic accounts.


The actual amount posted from journal entries, invoices, or bills tagged to this Analytic Account.

Now, Click on the Cost / Revenue Tab.
